Using Chat Aid in Private Slack Channels

Chat Aid works seamlessly in private Slack channels, respecting your team's privacy while providing powerful AI-assisted answers. This guide explains how to add Chat Aid to private channels and use it effectively.

Why Use Chat Aid in Private Channels?

Private channels are ideal for:

  • Sensitive team discussions - HR, finance, executive planning
  • Department-specific knowledge - Sales strategies, engineering discussions
  • Project-specific information - Client projects, confidential initiatives
  • Data privacy compliance - Keeping sensitive data isolated

Privacy Guarantee:

  • ✅ Data from private channels is only accessible to members of that channel
  • ✅ Private channel data never used to answer questions that are asked outside that private channel or in a DM from a user with access to that private channel

How to Add Chat Aid to a Private Channel

By default, Chat Aid doesn't have access to private Slack channels. You need to explicitly invite it to each private channel where you want to use it.

Method 1: Mention Chat Aid (Easiest)

This is the quickest way to add Chat Aid to a private channel:

  1. Open the private channel in Slack
  2. Type @Chat Aid in the message field (don't send yet)
  3. Slack will show a message: "Chat Aid is not in this channel"
  4. Click "Invite Them" or "Invite to Channel"
  5. Chat Aid is now added to the channel!

Method 2: Use /invite Command

This method works in any Slack channel:

  1. Open the private channel in Slack
  2. Type /invite @Chat Aid and press Enter
  3. Chat Aid will be added to the channel automatically

Method 3: Channel Details Menu

This method uses Slack's interface:

  1. Open the private channel in Slack
  2. Click on the channel name at the top of the screen
  3. Go to the "Integrations" tab
  4. Click "Add an App"
  5. Search for "Chat Aid" in the app list
  6. Click "Add" next to Chat Aid

Method 4: Via App Details (Convenient)

This method works from anywhere in Slack:

  1. Find Chat Aid in your Apps sidebar (left sidebar in Slack)
  2. Right-click on "Chat Aid" (or click the three dots ⋯ next to the name)
  3. Select "View app details"
  4. In the app details screen, click "Add this app to a channel..."
  5. Search for and select your private channel
  6. Click "Add" to confirm
Pro Tip

You need to be a channel member with appropriate permissions to add apps. If you can't add Chat Aid, ask a channel admin or workspace admin for help.

Verifying Chat Aid Has Access

After adding Chat Aid, verify it's working:

Quick Test:

  1. In the private channel, type: @Chat Aid test
  2. Chat Aid should respond to confirm it's active

Alternative Check:

  1. Click on the channel name at the top
  2. Go to the "Integrations" tab
  3. You should see "Chat Aid" listed under apps

Training on Private Channel Data

To use private channel conversations as a data source:

  1. Go to Chat Aid DashboardIntegrationsSlack
  2. Click "Add source"
  3. Select the private channel from the list
  4. Click "Add"
Important

You'll only see private channels in the source list after you've added Chat Aid to them in Slack. If a private channel doesn't appear, make sure you've invited Chat Aid to it first (see instructions above).

What Gets Indexed:

  • All messages in the private channel (from when Chat Aid was added)
  • File attachments and links shared in the channel
  • Thread conversations

What's NOT Indexed:

  • Messages sent before Chat Aid was added to the channel
  • Private DMs (unless explicitly trained)
  • Other channels Chat Aid doesn't have access to

Auto-Answer in Private Channels

Chat Aid's Auto-Answer feature also works in private channels:

  1. Add Chat Aid to the private channel (see above)
  2. Go to DashboardSettingsAuto-Answer
  3. Click "Add Channels"
  4. Select the private channel
  5. Enable Auto-Answer for that channel

Auto-Answer in private channels will only work after Chat Aid has been added to the channel in Slack.

Data Privacy and Security

Access Control

Who Can Access Private Channel Data?

  • ✅ Channel members can search private channel data via DM with Chat Aid
  • ✅ Channel members can ask questions in the private channel
  • ❌ Non-members cannot access private channel data, even as admins
  • ❌ Private channel data never appears in public channel answers

Data Isolation

Chat Aid maintains strict data isolation:

  • Private channel data is tagged with channel membership
  • Search results are filtered based on user permissions
  • Cross-channel data leakage is prevented by design

Removing Chat Aid's Access

To remove Chat Aid from a private channel:

  1. Open the private channel in Slack
  2. Click on the channel name at the top
  3. Go to the "Integrations" tab
  4. Find "Chat Aid" in the list
  5. Click "Remove"

Removing Chat Aid from a channel does NOT delete the already-indexed data. To remove indexed data, go to DashboardIntegrationsSlack → find the channel source → Delete.

Common Issues and Solutions

"I can't see my private channel in the source list"

Solution: Make sure Chat Aid is added to the private channel in Slack first (see How to Add Chat Aid above). You also may need to refresh the Chat Aid dashboard to see newly added channels.

"Chat Aid won't respond in my private channel"

Possible Causes:

  1. Chat Aid hasn't been added to the channel → Add it using the methods above
  2. Your response settings might exclude private channels → Check SettingsResponse Settings
  3. You might not be a licensed user → Check with your admin

"Can other people see my private channel questions?"

Only if they have access. Private channel data is completely isolated:

  • Only channel members can see questions and answers in that channel
  • Private channel data doesn't appear in other channels
  • Even company admins can only access private channel data if they are members of that private channel or if you specifically escalate a question from a private channel to your admins

"I removed Chat Aid but data is still indexed"

Solution: Removing Chat Aid from the Slack channel doesn't delete indexed data. To remove:

  1. Go to DashboardIntegrationsSlack
  2. Find the private channel in your sources
  3. Click "Delete" to remove the indexed data

For Admins

Set Clear Policies:

  • Define which private channels should have Chat Aid access
  • Communicate data privacy expectations to team members
  • Regularly audit which private channels are indexed

Manage Licenses:

For Users

Be Intentional:

  • Only add Chat Aid to private channels where it provides value
  • Remove Chat Aid from channels when no longer needed
  • Ask admins if you're unsure about adding Chat Aid to sensitive channels

Use Chat Aid's Teams Feature:

  • Consider using Teams for department-specific knowledge
  • Teams provide better data organization than just private channels
  • Teams integrate with your existing channel structure
