My Account
My Account settings allow you to manage your personal profile, password, and account status within Chat Aid.
Overview
The My Account page is where you can:
- Update your profile information (name, photo)
- Change your password
- Leave a company
- Delete your account permanently
Accessing My Account
- Navigate to Settings in the sidebar
- Select My Account under Account Settings
- View and update your personal information
My Account settings are personal to you and don't affect other users in your company.
Profile Settings
Display Name
Your name appears in:
- Chat messages and responses
- User lists and team directories
- Email notifications
- Activity logs
To update your name:
- Go to Settings → My Account
- Click the edit icon next to your name
- Enter your new name
- Click Save
Profile Photo
Upload a profile picture to personalize your account.
To update your photo:
- Go to Settings → My Account
- Click on your profile photo
- Select an image file (JPG, PNG)
- The photo uploads automatically
Photo requirements:
- Supported formats: JPG, PNG
- Maximum file size: 2MB
- Square images work best
- Minimum recommended size: 200x200 pixels
Email Address
Your email address is displayed for reference but cannot be changed in the My Account settings.
To change your email:
- Contact your company administrator
- Or contact Chat Aid support at support@chataid.com
Password Management
Change Your Password
Keep your account secure by updating your password regularly.
To change your password:
- Go to Settings → My Account
- Click Change password
- Enter your current password
- Enter your new password
- Confirm your new password
- Click Save
Password requirements:
- Minimum 8 characters
- Must be different from your current password
- New password and confirmation must match
Last updated date:
- Your last password update date is displayed
- Helps you track when you last changed it
- Useful for security audits
- Use a strong, unique password
- Don't reuse passwords from other services
- Change your password if you suspect unauthorized access
- Use a password manager to generate and store secure passwords
Forgot Password
If you forgot your password, use the password reset flow:
- Go to the login page
- Click Forgot Password
- Enter your email address
- Check your email for reset instructions
- Follow the link to create a new password
Leave Company
If you're a member of multiple companies or want to leave your current organization, you can do so without deleting your entire account.
Make sure you understand the implications:
- You'll lose access to this company's Chat Aid
- You won't be able to ask questions or view company data
- You'll need to be re-invited to regain access
- Your account itself remains active for other companies
What Happens When You Leave
You'll lose access to:
- The company's knowledge base
- Conversation history with this company
- Team memberships
- Data sources connected to this company
- Any admin or special permissions in this company
What stays intact:
- Your Chat Aid account (if you're in other companies)
- Your email address and login credentials
- Access to other companies you're a member of
How to Leave a Company
Prerequisites:
- You must be a member of the company
- You cannot be the only admin (transfer admin rights first)
- Consider downloading any important conversation history
Steps:
- Navigate to Settings → My Account
- Scroll down to the Leave company section
- Click Leave company
- Read the warning message carefully
- Confirm by clicking Leave in the modal
After leaving:
- You're immediately removed from the company
- You're logged out and redirected
- You can join other companies or create a new one
- To return, you'll need a new invitation from an admin
Delete Account
Deleting your account is permanent and cannot be undone. All your data across all companies will be lost.
What Gets Deleted
Your personal data:
- ✗ Your user account and profile
- ✗ Your name, email, and photo
- ✗ Your password and login credentials
- ✗ Your conversation history
- ✗ Your personal settings and preferences
Access you'll lose:
- ✗ All companies you're a member of
- ✗ All admin rights and permissions
- ✗ All team memberships
- ✗ All connected integrations
- ✗ All API keys you created
What happens to your companies:
- If you're the only admin, the company may become inaccessible
- Other admins can continue managing the company
- Your contributions (trained data) remain for the company
- Your account is removed from all user lists
How to Delete Your Account
Before you delete:
- Transfer admin rights - If you're the only admin, assign another admin first
- Export data - Download any important conversations or information
- Inform your team - Let others know you're leaving
- Consider alternatives - Maybe you just need to leave one company?
Prerequisites:
- You must be logged in
- Consider if you really want to delete vs. just leaving a company
- Ensure you've transferred any critical responsibilities
Steps:
- Navigate to Settings → My Account
- Scroll down to the Delete account section
- Click Delete account
- Read the warning message carefully:
- "When you delete your account, you will not be able to access Chat Aid and lose data across all your companies."
- Confirm by clicking Delete in the modal
What happens immediately:
- Your account is permanently deleted
- You're logged out of all devices
- All your data is removed from Chat Aid
- You're redirected to the signup page
- Your email address becomes available for a new account
Before deleting, consider these options:
- Leave specific companies - Keep your account but exit certain organizations
- Reduce involvement - Step down from admin roles without leaving
- Take a break - Just log out; your account remains available
- Transfer ownership - Hand off your responsibilities first

Account Recovery
Can I Recover a Deleted Account?
No. Account deletion is permanent and cannot be reversed.
Once deleted:
- All your data is permanently removed
- We cannot restore your account
- You'll need to create a new account to use Chat Aid again
- Your email address becomes available for reuse
What to Do Instead
If you deleted by mistake:
- Create a new account immediately using the same email
- Contact your company admin to be re-invited
- You'll need to reconfigure all personal settings
- Previous conversation history cannot be restored

Protect Your Account

- Change it regularly
- Don't share it with anyone
- Use unique passwords for each service

- Review which companies you're a member of
- Check for unexpected changes
- Report suspicious activity immediately

- Log out on shared computers
- Don't save passwords in browsers on public computers
- Be cautious of phishing attempts
- Verify emails claiming to be from Chat Aid
Suspicious Activity
If you notice unauthorized access:
- Change your password immediately
- Review your company memberships
- Contact support at security@chataid.com
- Check your email for password reset notifications
Troubleshooting
Can't Update Profile
Problem: Changes don't save
Solutions:
- Check for error messages
- Verify image file size (under 2MB for photos)
- Try refreshing the page
- Clear browser cache
- Try a different browser
Password Change Fails
Problem: "Current password is incorrect"
Solutions:
- Double-check your current password
- Use password reset if you forgot it
- Check for caps lock
- Copy-paste to avoid typos
- Contact support@chataid.com if you're locked out
Photo Won't Upload
Problem: Profile photo upload fails
Solutions:
- Use JPG or PNG format only
- Reduce file size (under 2MB)
- Try a different image
- Check internet connection
- Try a different browser
Can't Leave Company
Problem: "Leave company" button is disabled
Possible reasons:
- You're the only admin (must transfer admin rights first)
- You're in a trial period (contact admin)
- Company policy restrictions (contact admin)
Solutions:
- Transfer admin rights to another user
- Contact your company admin
- Contact support@chataid.com for assistance
